Position Overview
We are seeking a detail-oriented and customer-focused Client Support Specialist to join our team. This role works closely with the Business Development team to ensure accurate and timely order processing while delivering exceptional service to clients and vendors. The ideal candidate thrives in a fast-paced environment, communicates effectively, and takes a proactive approach to problem-solving and client support.

Key Responsibilities

Client Support & Operations

  • Accurately enter and manage orders in collaboration with the Business Development team
  • Serve as a primary point of contact for clients and vendors, ensuring timely communication and issue resolution
  • Design and coordinate mail projects for assigned clients
  • Monitor workload and prioritize tasks to meet deadlines and service expectations
  • Act as a backup to the Project Administration team as needed

Client Relationship Management

  • Build and maintain strong relationships with clients by understanding their business needs and objectives
  • Proactively identify opportunities for additional or expanded services
  • Address and escalate customer concerns quickly to ensure resolution and satisfaction
  • Provide guidance and support to team members, helping develop their skills and knowledge

Process Improvement & Team Collaboration

  • Serve as a subject matter expert (SME) in order processing
  • Lead or participate in internal process improvement initiatives
  • Facilitate operations meetings as needed
  • Assist with onboarding and training of new team members
  • Support compliance efforts, including participation in SOC-related processes

Qualifications

  • Strong organizational skills with the ability to manage multiple priorities
  • Excellent communication and customer service skills
  • Detail-oriented with a high level of accuracy in data entry and order processing
  • Ability to identify issues, determine root causes, and implement solutions
  • Team-oriented mindset with a willingness to support cross-functional teams
  • Previous experience in client support, order processing, or administrative operations preferred
